What to Do When a Company Laptop Goes Missing

A laptop gets left in a taxi, lifted from a car, or simply walks off with someone who has left the company. It happens to good businesses all the time. What separates a shrug from a crisis is not luck — it is what you had set up before it went missing.

The real cost is not the hardware

Replacing the machine is a known, one-off expense. The genuine risks are quieter and larger:

• The data on it — customer lists, contracts, financials, saved files.
• The access it holds — a logged-in laptop can often reach your email, systems and cloud storage without anyone typing a password.
• The trust it risks — a customer data leak is a reputation problem, not just an IT one.

The unmanaged version

On an ordinary, unmanaged laptop, you have almost no options. You do not know exactly what was on it, you cannot lock it, you cannot wipe it, and whatever it was signed into is still signed in. You are left hoping whoever finds it is honest — which is not a security strategy.

What to have in place beforehand

None of this is exotic. It is a handful of basics, set up once and quietly maintained:

• Encryption so the data is unreadable to anyone without the login.
• Managed enrolment so the device can be controlled remotely.
• Remote lock and wipe so you can neutralise it on demand.
• Two-step login so a stolen, still-signed-in session can be cut off and not simply reused.
• Backups so nothing important lived only on that one machine.

A simple response plan

When a device goes missing, the steps are calm rather than frantic: report it to whoever manages your devices, lock or wipe it remotely, revoke its access to your systems, change any at-risk passwords, and note it for your records. With the basics above in place, that whole sequence takes minutes and closes the risk.

Prevention beats reaction
